RFIs (requests for information), submittals, approvals and reviews all run on the same workflow: a path of steps. Each step is held by someone, and each can have a deadline. Konverge numbers each item (RFI-001, SUB-001 …).
Raise an RFI
- From a drawing: on the web, add a pin at the spot and raise an RFI from it. On the phone, raise an issue at the spot and choose RFI. The form opens with your question, and the spot is marked when the RFI is raised.
- From a set review of a drawing set: Raise RFI on a finding, or select several findings and Raise one RFI.
- From a document: open the file and choose Send for review.
- From the workflows list: the project’s Documents → Workflows on the web lets you start any workflow.
Say what you need answered, mark it normal or urgent, and choose the workflow. Raising an RFI needs signal.
Ball in court
The step that’s open now is in someone’s court: a named person, everyone in a role, or an organisation on the project (its lead person). Who it’s with on the item shows who, and See the whole path shows every step, which ones are done and which come next.
Some steps open together and need all, any one, a majority or a set number of the people on them to decide.
Deadlines
Each step can have a number of days to decide, counted in calendar or working days (the project’s working calendar). Overdue items sort to the top of everyone’s list, and a step can move on automatically after its days are up if the template says so.
Where to find what’s waiting on you
- Phone: Awaiting you on Today, and Waiting on you in Workflows.
- Web: In your court, in the sidebar, with overdue items first.
- Email: a weekly “In your court” summary, if you leave it switched on in your notification settings.
Decide a step
Open the item and choose:
- Approve, with an optional note.
- Reject: say why (optional, but it helps).
- Ask for changes: say what needs to change; it goes back with your note.
Some projects ask for a review code with each decision (for example A, B or C). Several items can be decided at once with Decide several. A decision needs signal, because it moves the work on for other people.
Workflow templates
On the web, Documents → Set up → Workflows holds the company’s standard paths for RFIs, submittals, approvals and reviews: the steps, who holds each, the days to decide, and whether steps run one after another or together. A template that names an organisation’s role (“Architect reviews”) routes to each project’s own architect.
Good to know
- A drawing that’s referenced by an RFI or submittal can’t be deleted while it has no other revision.
- Everything that happens on an item is kept in its history.
